Marriage and Family Therapy (MFT) Program Administrative Coordinator

Summary

The Louisville Presbyterian Theological Seminary (LPTS) has an immediate opening for a highly motivated and compassionate team player with exceptional organization, communication, and conflict resolution skills for a full-time in-office position serving as the Administrative Coordinator for our thriving Marriage and Family Therapy (MFT) Program. The Administrative Coordinator will manage the day-to-day administrative operations of the department and counseling center and provide direct support for the Program Director and Clinical Director. The Administrative Coordinator reports to the Program Director.

MAJOR JOB DUTIES AND RESPONSIBILITIES (Include but are not limited to):

Administrative Support to the MFT Department

  • Manage the daily operations under the guidance of the Program Director
  • Participate in program planning and collaboration as directed by the Program Director
  • Receive and direct telephone callers, respond directly to mail, and greet office visitors
  • Coordinates the purchase, usage and repair of equipment, supplies, and materials
  • Assist in scheduling and preparation of meetings, agenda and materials, and minutes
  • Collaborate with Program Director to create, organize, and revise the practicum manual, program handbook, and all program materials
  • Manage arrangements for program events, including preparing event materials, supporting speakers, scheduling space, and securing catering support

Administrative Assistant to the MFT Program Director and Clinical Director

  • Maintain a working knowledge of accrediting and licensing organizations and regulations
  • Compile, organize, and create department data for reports
  • Coordinate appointments with Program and Clinical Director’s calendar
  • Maintain and update recruitment materials, website information and program brochures
  • Assist with the coordination and completion of new student orientation and Coordinate with admissions MFT Screening interviews for prospective students
  • Assist Directors with registration and travel for conferences and recruiting events
  • Mange the MFT budget in collaboration with Program Directors
  • Manage supervisor contracts in collaboration with Program Director and Clinical Director

Administrative Support for MFT Students and Alumni

  • Support general student needs throughout all phases of the program
  • Support community-building activities, luncheons, and events
  • Supervise and delegate appropriate tasks to student assistants
  • Assist with training and onboarding of MFT students into their clinical practicums
  • Collect and verify practicum hours and generate monthly reports
  • Coordinate and participate in the practicum evaluation process
  • Maintain student graduate, clinical, and supervision files
  • Manage student integrative experience for graduating students
  • Communicate with alumni for accreditation requirements and continuing education opportunities

Physical Demands:

  • Indoor work environment
  • You must be able to stand, sit, kneel, stoop, reach, lift, grasp, finger, see (near and far) on a computer screen for reading and data analysis, and hear and talk for regular conversation and telephone calls with or without reasonable accommodations
  • Must be able to lift up to 40 pounds

PREFERRED ATTRIBUTES AND QUALIFICATIONS:

  • Bachelor’s degree or equivalent experience
  • Experience in higher education
  • Proficiency in Microsoft Office and Adobe Acrobat
  • Strong oral and written communication skills
  • Experience with student information and electronic health record systems
  • Ability to anticipate needs of the program and serve with proactive support
  • Possesses strong emotional intelligence and interpersonal, and conflict resolution skills
  • Possess a passion for organization, efficiency, and process improvement while performing with the highest regard for timeliness, professionalism, accuracy, and attention to detail
  • Ability to work independently and yet function as a collaborative team member
  • Ability to occasionally work non-standard hours, to include evenings or weekends
  • Commitment to the mission and goals of Louisville Seminary and MFT program
  • Motivation to make a difference within the MFT program and seminary community

Schedule: Monday to Friday (occasional evenings and weekends as needed)

Work Location: In person (Option for remote office hours vary)

Salary: $18.00 - $21.00 per hour with generous benefits
