Louisville Institute Admin Coordinator

JOB DESCRIPTION:

The Administrative Coordinator, Louisville Institute, at Louisville Presbyterian Theological Seminary (LPTS) plays a pivotal role in the office by serving as first contact to anyone interested in the work of the Louisville Institute.

ORGANIZATIONAL RELATIONSHIP:

The Administrative Coordinator, Louisville Institute reports directly to the Executive Director of the Louisville Institute.

CORE RESPONSIBILITIES:

  • Provide administrative support to the Executive Director and other LI Team Members.
  • Functions include mail and electronic communications, telephone, correspondence, record keeping, filing, scheduling of meetings, ordering of supplies, and other office duties.
  • Coordinate and assist in managing various Louisville Institute internal meetings.
  • Keep master calendar for the Louisville Institute office.
  • Assist Grant Program Managers in maintaining annual records of programs.
  • Coordinate communication with various program constituents.
  • Assist in database management and archival record keeping.
  • Partner with IT and Communications for online resources to assist Louisville Institute.
  • Assist with volunteers and student workers.
  • Prepare and submit check requests and complete voucher packets for disbursements and reimbursements, serving as a liaison between the Louisville Institute and the Business Office to ensure timely and accurate processing.
  • Other duties, as assigned.

QUALIFICATIONS, SKILLS & CHARACTERISTICS:

  • Bachelor's degree and experience with administrative work in an educational or non-profit office setting.
  • Proficiency in MS Office suite programs, including Excel, Word, PowerPoint, and Outlook.
  • Working knowledge of Google platforms preferred.
  • Strong written and verbal communication skills.
  • Ability to prioritize and reassess in a fast-paced environment.
  • Attention to detail and timeline-oriented mindset.
  • Strong organizational and interpersonal skills.
  • Ability to provide excellent customer service and work effectively in a team.
  • Familiarity with event technology platforms (e.g., Zoom, virtual event platforms) and production processes.
  • Ability to demonstrate commitment to the mission of the Louisville Presbyterian Theological Seminary and the Louisville Institute.
  • Flexible schedule, including availability to work occasional evenings and weekends.

PHYSICAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 50 pounds at times.

COMPENSATION:

Full-time, non-exempt position offering a full range of benefits, including 403B retirement benefits, and health insurance.
