Event and Media Coordinator, Louisville Institute

JOB DESCRIPTION

The Event and Media Coordinator at Louisville Presbyterian Theological Seminary (LPTS) for the Louisville Institute (LI) plays a pivotal role in facilitating successful events, enhancing the institution's online presence, and serving as a liaison for philanthropy and stewardship initiatives. This multifaceted position involves coordinating event logistics, setting up and troubleshooting technology (e.g., audio/visual/lighting components), managing social media platforms, and representing the institution at community events.

ORGANIZATIONAL RELATIONSHIP

The Event and Media Coordinator, Louisville Institute reports directly to the VP for Strategic Initiatives and Communications.

CORE RESPONSIBILITIES:

Event Coordinator Responsibilities:
  • Serve as the liaison to the Louisville Institute for on-campus and online events, including grant and fellowship initiatives/programs, events, board meetings, conferences and receptions.
  • Serve as the main point of contact for Louisville Institute events, providing appropriate support or information as needed.
  • Handle all event request clearance requests and submit/confirm calendar reservations.
  • Represent the Louisville Institute at area community events, fostering relationships and enhancing the institution's presence.
  • Develop and implement comprehensive plans and production schedules for events.
  • Collaborate with various ministry departments and managers to deliver events that exceed organizational standards.
  • Assist in organizing and executing various institutional events, ensuring seamless logistics.
  • Determine staffing requirements for events and provide support and instruction for staff and volunteers.
  • Contribute to the development of marketing and promotional plans and materials.
  • Track event revenue and expenses to ensure financial objectives are met.
  • Research and liaise with vendors, including venues, hotels, airlines, production teams, and suppliers.
  • Handle event-associated invoicing and data entry tasks.
  • Manage the event registration process, including registrations, name tags, and check-in procedures.

External events include:

  • Winter Seminar, Pastoral Study Project Consultation, VTE October Gathering, VTE February Gathering, VTE May Gathering, Louisville Institute Advisory Board Meetings, American Academy of Religion & Society of Biblical Literature, other academic professional societies meetings and consultations in collaboration with the Executive Director of the Louisville Institute.
Media Coordinator Responsibilities:
  • Serve as the point person for handling all meeting coordination and logistics, including in-person hospitality and/or online Zoom meeting scheduling to include set up of necessary technology/A/V/L.
  • Research audience preferences and current trends to inform content creation strategies.
  • Develop engaging text, image, and video content for social media platforms.
  • Design posts to stimulate curiosity and generate excitement around institutional initiatives.
  • Monitor web traffic and SEO performance to optimize content visibility.
  • Stay updated on changes across social platforms and implement strategies for maximum effectiveness.
  • Engage in online conversations with followers, responding to inquiries promptly.
  • Monitor online reviews and feedback, reporting insights to relevant stakeholders.
  • Develop and maintain an optimal posting schedule based on web traffic and engagement metrics.
  • Oversee the layout and branding of social media accounts.
  • Propose innovative approaches to attract prospective audiences through promotions and competitions.
  • Track key metrics such as audience engagement, impressions, reach, referrals, and conversions.
  • Schedule social media posts and monitor relevant news and content.
  • Write and review press releases, newsletters, blogs, and other promotional materials, as needed.
  • Partner with the VP for Strategic Initiatives and Communications to manage work completed by third party vendors.
  • Other duties, as assigned.

QUALIFICATIONS, SKILLS & CHARACTERISTICS:

  • Bachelor's degree in Marketing, Business, or related fields.
  • Proficiency in MS Office suite programs, including Excel, Word, PowerPoint, and Outlook.
  • Experience using social media management software solutions (e.g., Sprout Social, Buffer, Hootsuite) and web analytics tools (e.g., Google Analytics).
  • Experience using project management platforms (e.g., Asana, Monday, Trello)
  • Project management and critical thinking skills necessary for effective problem-solving and project coordination.
  • Experience purchasing, updating, and setting up audio/visual/lighting equipment for recordings, livestreaming, and other production needs.
  • Mid-level photography skills to capture images for social media and event documentation.
  • Working knowledge of Adobe Photoshop and other editing tools.
  • Proven ability to handle sensitive information with confidentiality, professionalism, and discretion.
  • Strong written and verbal communication skills.
  • Ability to prioritize and reassess in a fast-paced environment.
  • Attention to detail and timeline-oriented mindset.
  • Ability to provide excellent customer service and work effectively in a team.
  • Familiarity with event technology platforms (e.g., Zoom, virtual event platforms) and production processes.
  • Flexible schedule, including availability to work occasional evenings and weekends.

PHYSICAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 50 pounds at times.

COMPENSATION:

Full-time, exempt position offering a full range of benefits, including 403B pension benefits, and health insurance.
