Accounts Receivable Specialist

Function:

Performs bookkeeping duties, particularly in accounts receivable.

Organizational Relationship:

Reports to the Controller.

Responsibilities:

Receivables Accounting:

  • Bills student fees and housing each semester.
  • Post debits and credits to receivables (student and other).
  • Generates statements and responds to A/R questions.
  • Prepares and posts related journal entries.
  • Balances receivables to control accounts monthly.

Receipts Accounting:

  • Balances and posts to general ledger (donor, loans, misc.).
  • Prepares and posts related journal entries.
  • Reconciles and enters credit card ACHs to the general ledger.

Other:

  • Prepares bank deposits.
  • Reviews Perkins loan payments and records in general ledger.
  • Monitors student accounts and requests checks for credit balances.
  • Balances student and employee loan accounts to control accounts monthly.
  • Monitors student payment schedules and works with students to keep account current.
  • Works closely with Registrar and Financial Aid to ensure accurate information on student accounts (Drops, Adds, Loans, etc).
  • Reconciles, prepares and mails 1099 and 1098 tax forms at calendar year end.
  • Maintains leases along with move in/move out inspection forms and issues keys for student.

Reconciliations Using Spreadsheets:

  • Postage, copier, duplicator, office supplies, telephone charges, damage deposits, endowment transactions, capital projects account, Gardencourt, and billing the approved external caterer.
  • Back-up for other Accounts Specialists.

Requirements:

High school education or equivalent; some college preferred; minimum of four years of bookkeeping experience, including accounts receivable.

Computer skills and experience, especially with Excel spreadsheets and Microsoft Office products.

Ability to handle confidential information.

Good telephone and communication skills appropriate for use with diverse constituents, including Seminary employees and students.

Receptive to changing responsibilities and new challenges.

Detail oriented; good organizational skills.

Ability to show initiative, mature judgment, dependability and reliability.
